Xero to QuickBooks Conversion: How to Move Your Data Safely

Switching from Xero to QuickBooks means moving your chart of accounts, customer and vendor lists, products and services, and historical transactions into a new format. QuickBooks Online and QuickBooks Desktop both accept imports, but neither reads Xero files directly — the conversion always requires an intermediate step. Here is how the process works, what to expect, and where things usually get complicated.
What Actually Transfers
A full conversion typically includes:
- Chart of accounts — usually imports cleanly via CSV.
- Customer and vendor contacts — names, addresses, email, phone.
- Product and service items — descriptions, pricing, quantities on hand.
- Historical transactions — invoices, bills, payments, credit notes, journal entries.
The challenge is that Xero exports each of these in its own format, and QuickBooks expects a different column structure for each. Account numbers, tax codes, and term names must match exactly between the two systems or the import fails or posts to the wrong place.
The Standard Path: Xero to QuickBooks Online
QuickBooks Online has a built-in import tool that accepts CSV files. The general workflow is:
- Export from Xero. In Xero, navigate to your reports and lists and export the chart of accounts, contacts, and inventory items to CSV. For historical transactions, export the relevant accounting reports or use Xero's trial balance for a summary approach.
- Prepare the CSV files. Open each export in Excel and restructure the columns to match QuickBooks Online's import templates. This is the most time-consuming step — Xero's column headers and field order will not match what QuickBooks expects.
- Import into QuickBooks Online. In QuickBooks Online, go to the Settings menu, select Import data, and upload each CSV file in order: chart of accounts first, then customers and vendors, then products and services.
- Reconcile opening balances. After the lists and items are in place, enter your opening balances as of your conversion date using a journal entry or the opening-balance tool.
Transaction-level history — individual invoices, bills, and payments — is where most people hit a wall. QuickBooks Online's standard import does not bring in historical transactions from Xero in bulk. You can import individual transaction types (like invoices) via CSV, but the file must be formatted precisely, and linked transactions (a payment applied to an invoice) often lose their connection during import.
The Alternative Path: Xero to QuickBooks Desktop
Some businesses prefer QuickBooks Desktop for its reporting depth, offline access, or multi-company handling. Desktop does not import Xero CSV files directly either, but it offers a different route:
- Export a Trial Balance from Xero for your conversion date.
- Set up a new company file in QuickBooks Desktop with a matching chart of accounts.
- Enter the trial balance figures as opening balances via a general journal entry.
- Import your customer, vendor, and item lists using QuickBooks Desktop's built-in CSV or Excel import tools.
This approach gives you accurate financials going forward but leaves historical detail behind in Xero. If you need full transaction history in Desktop, a manual conversion is typically required.
What to Check Before You Start
Before exporting anything from Xero:
- Reconcile all accounts through your chosen conversion date. Unreconciled transactions create opening-balance errors.
- Clean up your contact list. Merge duplicates, fix spelling, and mark inactive customers and vendors. Dirty data in Xero becomes dirty data in QuickBooks.
- Note your tax rates and mapping. Xero and QuickBooks handle sales tax differently. Document how each tax rate in Xero should map to a tax agency and rate in QuickBooks.
- Decide on a conversion date. Most businesses convert at the start of a fiscal year or quarter to minimize mid-period complications.
What to Check After Import
Once the data is in QuickBooks:
- Run a Trial Balance in QuickBooks as of the conversion date and compare it line-by-line to the Xero Trial Balance. Every account should match.
- Spot-check a handful of customers and vendors to confirm balances carried over correctly.
- Verify that Accounts Receivable and Accounts Payable aging reports match between systems.
- Confirm your bank account opening balances match the actual bank statements.
