QuickBooks Auto Data Recovery Tool: How to Restore a Damaged Company File
Last reviewed 2026-07-17
When a QuickBooks Desktop company file (.QBW) becomes corrupted or unexpectedly loses recent transactions, the Auto Data Recovery (ADR) tool can often save the day. This built-in feature automatically creates local backups of your company file, allowing you to restore your data without needing a dedicated IT professional.
How QuickBooks Auto Data Recovery Works
ADR operates quietly in the background. It creates a backup of your company file under two specific conditions:
- Transaction Log File (.TLG): ADR logs every transaction you enter in real-time.
- Original File Copy: ADR takes a snapshot of the entire company file every 12 hours (or every 24 hours, depending on your version of QuickBooks).
If your main file fails, you can use these two components to rebuild your data up to the last few hours of use.
Locating Your ADR Backup Files
By default, QuickBooks stores ADR data in a hidden folder within the same directory as your primary company file. To find it:
- Open the folder on your computer where your
.QBWfile is saved. - Look for a folder named exactly like your company file, but with the suffix
.adr(for example,CompanyName.qbw.adr). - Inside this folder, you will typically find subfolders labeled by date and time, containing the
.QBW.adrand.TLG.adrfiles.
Restoring Lost Transactions
If your company file is intact but you are missing recent transactions, you can use the ADR transaction log to recover them.
- Open your QuickBooks folder and locate the
.adrfolder. - Find the most recent
.TLG.adrfile. - Copy this file and paste it into a new, empty folder on your desktop.
- Rename the file by removing the
.adrextension so it simply ends in.TLG. - Copy your primary
.QBWfile and paste it into the same desktop folder as the renamed.TLGfile. - Open QuickBooks while holding down the
Ctrlkey to open the application in No Company Open mode. - Select Open or restore an existing company, navigate to your desktop folder, and open the
.QBWfile. QuickBooks will automatically read the.TLGfile and integrate the missing transactions.
Recovering from a Corrupt Company File
If your main company file will not open at all, you can restore the 12-hour snapshot ADR took previously.
- Navigate to the
.adrfolder in your QuickBooks directory. - Open the dated subfolder that contains the
.QBW.adrfile. - Copy the
.QBW.adrfile and paste it into a new folder on your desktop. - Rename the file by removing the
.adrextension so it ends in.QBW. - Open QuickBooks in No Company Open mode (hold
Ctrlwhile launching). - Choose Open or restore an existing company, locate the desktop file, and open it.
Once the file is open, run the Verify Data utility (under the File > Utilities menu) to ensure the restored file has no structural errors.
When ADR Fails: Next Steps
The ADR tool relies on your local hard drive, meaning severe hardware failures or deeply entrenched file corruption can render the ADR backups unusable. If the ADR files are missing, or if QuickBooks displays error codes when attempting to open the recovered file, the structural damage has likely spread to the backup itself. In these cases, you will need advanced data extraction methods to rebuild the database tables and recover the damaged QuickBooks company file safely.
