Moving From QuickBooks Desktop to QuickBooks Online: What to Expect

As Intuit continues to shift its focus toward cloud-based accounting, many businesses are transitioning from QuickBooks Desktop to QuickBooks Online. While the built-in migration tool makes the process relatively straightforward, moving your data requires careful preparation to ensure nothing is left behind.
Preparing Your Desktop File
Before initiating any move, your Desktop company file must be in optimal condition. A damaged or oversized file will frequently cause the online migration to stall or fail entirely.
Start by running the built-in Verify and Rebuild Data utilities in QuickBooks Desktop. This process identifies and repairs structural corruption, ensuring the database is clean enough to be parsed by the online servers. If your file is exceptionally large, you may also need to condense it to reduce the overall size before attempting the transfer.
Initiating the Migration
To move your data, you use the built-in export feature available in recent versions of QuickBooks Desktop.
- Open your Desktop company file in Single-User Mode as the Admin.
- Navigate to the Company menu, select Export Company File to QuickBooks Online, and follow the on-screen prompts.
- You will be prompted to sign in to your QuickBooks Online account and choose whether to overwrite the existing online company or import into a new one.
Once the upload completes, QuickBooks sends an email notification when the data is fully processed and ready to review in the online environment.
What Transfers Successfully
The migration tool handles most core accounting data well. Standard lists—such as your Chart of Accounts, Customers, Vendors, and Products and Services—will carry over. Historical transactions, including invoices, bills, and payments, are also imported so you can maintain your financial reporting history.
Known Limitations and Exclusions
QuickBooks Online is built on a completely different database architecture than Desktop, meaning not everything maps perfectly. Be aware of the following limitations:
- Inventory: Advanced inventory features in Desktop (like FIFO valuation, which is standard in Enterprise) do not always convert cleanly, as QuickBooks Online handles inventory using a weighted average cost method.
- Reports: Customized memorized reports and report groups from Desktop usually need to be rebuilt in the online version.
- Payroll: Employee data transfers, but historical payroll transactions often require manual entry or a specialized migration process.
- Multi-currency: If multi-currency is enabled in your Desktop file, the conversion process becomes significantly more complex and may restrict your online features.
When the Built-In Tool Isn't Enough
If your Desktop file fails the export utility due to severe corruption, or if you need to preserve complex data like advanced inventory assemblies that the standard tool drops, you may need a manual conversion.
