When multiple team members need to access your company data simultaneously, keeping track of active sessions is essential. Whether you are trying to free up a user license, perform routine maintenance, or troubleshoot a locked file, knowing exactly who is logged into QuickBooks is the first step.

Check Active Users in QuickBooks Desktop

In QuickBooks Desktop (Pro, Premier, or Enterprise), you can view everyone currently accessing the company file directly from the main menu. This is especially useful if you have reached your simultaneous user limit and need to ask someone to log off.

To see who is logged in:

1. Open your company file in QuickBooks Desktop.
2. From the top menu bar, select Company.
3. Click on Company Users (in older versions, this may simply say Users).
4. Select View Users.

A small window will pop up displaying a list of all users currently logged into the company file. It will show their username and whether they are actively working in the file or if their session is idle.

Force a User Logoff in Desktop

If a user has left for the day without logging out, their idle session can prevent others from accessing the file in multi-user mode. While you cannot remotely force them out through the "View Users" window, you can resolve the blockage by having an admin log in.

If the system still shows the user as active and you cannot reach them, you may need to restart the computer hosting the QuickBooks Database Server Manager. This will sever the connection and clear the inactive session so others can log in.

View Active Users in QuickBooks Online

QuickBooks Online handles user sessions differently than the desktop version. Because it is cloud-based, there is no traditional "simultaneous user limit" that requires you to monitor active logins. However, you can still review who has access to your account and audit their recent activity.

To review your user list and activity:

1. Log in to QuickBooks Online as an Admin.
2. Go to Settings (the gear icon in the top right).
3. Select Manage users.

The Audit Log tracks user sign-ins, changes made to transactions, and other account activities, giving you a clear picture of who is interacting with your data and when.

Dealing with a Locked Company File

Sometimes you need to know who is logged in because you are locked out of your company file entirely. If QuickBooks displays a message stating that another user is in the company file and you cannot bypass it—even after verifying that no one else is actively working—your file may be stuck in a "locked" state due to an improper shutdown or minor data corruption.

If restarting the server and all workstations does not clear the lock, the .QBW file may have damaged list entries or transaction logs preventing proper access.
