Downgraded File Opens but the Users Are Gone? That Is Not Corruption

We repair damaged QuickBooks files for a living, so we know the feeling: you open a file, something looks wrong, and your first thought is corruption. When a freshly downgraded company file opens with an empty user list, that instinct fires -- but this one is not damage. It is expected, and this article explains how to tell.
What corruption looks like versus what this is
Genuine file damage usually announces itself: a specific error code, a file that will not open at all, a Verify that reports structural problems, reports that no longer tie out. A downgraded file with missing users shows none of that. It opens cleanly, your transactions and balances are all present and reconcile, and the only thing absent is the list of user names, passwords, and permissions.
That is the signature of a normal downgrade, not a broken file.
Why the users are missing by design
A downgrade moves your books into a new company file built by the older version of QuickBooks -- the formats differ between versions, so the file has to be rebuilt rather than simply opened. Your accounting data comes across. The sign-in accounts do not, because they are a property of the old file and the version that created it.
There is a repair-shop reason to leave them behind, too. Forcing an old login list into a downgraded file is one of the most reliable ways to create a file that fails later -- often during Verify/Rebuild, and in a form that genuinely does look like corruption. Leaving the accounts out avoids manufacturing the exact problem we would otherwise be called in to fix.
What to do
- Open the file with the Admin credentials supplied with it (in your delivery note), then change the Admin password.
- Re-create your users under Company > Set Up Users and Passwords. Note them from your original file first -- it is untouched.
- Keep the original file: it holds the audit trail's history of who changed what, and it is your fallback.
