Quickbooks File Repair — Verify Name List Item xx: View out of sequence.

"Verify Name List Item xx: View out of sequence" is a QuickBooks list error reported by Verify Data when the internal ordering of the name list has fallen out of its expected sequence. It is a recoverable error, but it tells you the name list inside your company file has an index or structural fault.

What "View out of sequence" means

QuickBooks stores each list (names, items, accounts) with an internal index that keeps records in a defined order. The "view" is how QuickBooks reads that ordered list. When Verify finds item xx out of sequence, a record sits in the wrong position relative to the index, so the view QuickBooks expects no longer matches the data on disk. Left unrepaired, an out-of-sequence list can produce wrong lookups, missing names, or follow-on errors elsewhere in the file.

Symptoms you'll typically see

  • The warning appears during File > Utilities > Verify Data.
  • A name occasionally fails to appear where you expect it in a drop-down list.
  • Reports filtered by name return inconsistent results.
  • QuickBooks recommends a Rebuild after the Verify run finishes.

Common causes

  • An interrupted write that left the list index and the records mismatched.
  • A power loss or forced close while QuickBooks was saving a name change.
  • Network instability during multi-user editing of the name list.
  • Gradual structural wear in a large company file edited by many users.

What you can safely try first

  • Back up the company file first, then run Rebuild Data to let QuickBooks re-sort and re-index the list.
  • Run Verify Data again afterward to confirm the out-of-sequence item no longer appears.
  • If the message is gone, spot-check the affected names in their lists to confirm correct ordering.

When professional recovery is the safer path

If the same item stays out of sequence after Rebuild, or each Verify run flags different list items, the index damage is beyond what the utilities reliably correct. Repeated Rebuilds on an already-damaged index can compound the problem. Our team rebuilds the list structure and index directly, restoring correct sequence without risking further drift.
