Quickbooks File Repair — Balance sheet out of balance
A "Balance sheet out of balance" condition in QuickBooks means your total assets no longer equal total liabilities plus equity -- a state that should be mathematically impossible and almost always points to data corruption. The numbers don't reconcile because the underlying links between transactions have been damaged.
What this means
QuickBooks enforces double-entry accounting, so a properly functioning file cannot report a balance sheet that is out of balance. When it does, the cause is data damage of some sort -- broken transaction links, partially written records, or corrupted internal structures that throw the totals off. It can take some digging to pin down, but these cases can usually be resolved.
Symptoms you'll typically see
- The balance sheet's assets don't equal liabilities plus equity, often by a specific dollar amount.
- The discrepancy may appear only as of certain dates or report bases (cash vs. accrual).
- Other reports may also show oddities tied to the same damaged transactions.
What you can safely try first
Protect your data before doing anything else, then use the built-in repair tools:
- Create a backup of your company data file first. Do not overwrite an existing backup -- keep a known copy.
- Run Verify Data to confirm QuickBooks detects damage.
- Run Rebuild Data. The Rebuild utility may fix some or all of the damaged transactions and links behind the imbalance.
- Re-run the balance sheet to check whether the totals now reconcile.
